Terms & Conditions

These Terms & Conditions ("Terms") govern your use of the website, guest portal, communications, booking services, and concierge services provided by Peak to Peak Concierge Services LLC ("Peak to Peak Concierge," "we," "us," or "our").

By accessing our website or guest portal, requesting or purchasing concierge services, approving an itinerary, or otherwise using our services, you agree to these Terms.

1. Concierge Services

Peak to Peak Concierge Services provides concierge planning, booking coordination, guest support, and access to various experiences and services.

Services may include, but are not limited to:

  • Private chef experiences

  • Transportation and airport transfers

  • Grocery delivery and stocking

  • Charcuterie and food delivery

  • Ski and snowboard equipment rentals and fittings

  • Oxygen rentals

  • Massage and wellness services

  • Activities and excursions

  • Restaurant assistance

  • Cooking classes

  • Childcare coordination

  • Photography

  • Equipment and rental services

  • Other vacation and hospitality-related services

Some services are provided directly by Peak to Peak Concierge Services, while others are provided by independent third-party vendors.

Availability, pricing, terms, and service details may vary.

2. Guest Portal

Guests may receive access to a personalized Peak to Peak Concierge guest portal.

The guest portal may allow guests to:

  • Review concierge packages

  • Browse services

  • Request services

  • Build or review an itinerary

  • Review pricing

  • Schedule concierge consultations

  • Approve a proposed itinerary

  • Make payments

  • Review confirmed and pending services

  • Receive trip-related information

Information displayed in the guest portal before final confirmation may be preliminary and subject to availability or pricing changes.

A service displayed in the portal is not necessarily confirmed simply because it has been requested or added to an itinerary.

3. Service Requests and Confirmation

Submitting a request does not guarantee service availability.

Certain services require confirmation from Peak to Peak Concierge Services or a third-party vendor.

Services may be displayed with statuses such as:

  • Requested

  • Pending Confirmation

  • Confirmed

  • Cancelled

  • Completed

A service is considered confirmed only when Peak to Peak Concierge Services communicates confirmation or the guest portal indicates that the service is confirmed.

We reserve the right to decline or modify a service request if the requested service is unavailable or cannot reasonably be fulfilled.

4. Concierge Packages and Itineraries

Guests may select or build concierge packages containing multiple services.

Package pricing displayed during the initial planning process may be estimated.

Before final approval, Peak to Peak Concierge Services may verify:

  • Vendor availability

  • Current pricing

  • Group size

  • Dates and times

  • Transportation requirements

  • Service requirements

  • Applicable fees

  • Other information necessary to fulfill the itinerary

The guest will have an opportunity to review the final itinerary and applicable pricing before approving the trip.

Once a guest approves a final itinerary and completes the required payment process, the applicable payment and cancellation terms become effective.

5. À La Carte Services

Guests may also purchase individual concierge services without purchasing a package.

À la carte services may require payment during the booking or request process.

Some à la carte services may still require confirmation from Peak to Peak Concierge Services or the applicable vendor.

Payment does not necessarily constitute vendor confirmation when the service is specifically identified as pending confirmation.

If we are unable to fulfill a paid service request, Peak to Peak Concierge Services will work with the guest to provide an appropriate alternative or refund the applicable amount when required.

6. Pricing

Prices displayed on our website or guest portal are stated in U.S. dollars unless otherwise indicated.

Prices may vary based on factors including:

  • Group size

  • Service duration

  • Dates

  • Season

  • Location

  • Vendor pricing

  • Vehicle or equipment requirements

  • Menu selections

  • Add-ons

  • Special requests

  • Taxes

  • Gratuities

  • Service or coordination fees

Prices shown during initial itinerary planning may be estimates until the itinerary is finalized.

Once an itinerary is approved, the guest will be responsible for the amount shown in the final approved itinerary, subject to subsequent guest-requested changes or other adjustments authorized under these Terms.

7. Payment Schedule

Unless otherwise stated for a particular service or itinerary, payment timing is determined by the guest's reservation arrival/check-in date, not the date of an individual concierge service.

Reservations More Than 60 Days Before Arrival

If the guest approves or purchases services more than 60 days before the reservation arrival date:

  • 50% of the applicable total is due at the time of approval or purchase.

  • The remaining 50% is due 60 days before the reservation arrival date.

Reservations 60 Days or Less Before Arrival

If the guest approves or purchases services 60 days or less before the reservation arrival date:

  • 100% of the applicable total is due at the time of approval or purchase.

Certain services may have different payment or deposit requirements. Any service-specific payment terms disclosed to the guest during booking will control for that service.

8. Saved Payment Methods and Future Charges

When applicable, guests may be required to provide a valid payment method.

Payment information may be securely processed and stored by our third-party payment processor.

By approving an itinerary or purchasing a service with a future balance due, you authorize Peak to Peak Concierge Services and its payment processor to charge the payment method provided for scheduled amounts disclosed to you during checkout or itinerary approval.

For example, if 50% is due at booking and 50% is due 60 days before arrival, you authorize the second scheduled payment to be charged to the payment method on file.

You are responsible for maintaining a valid payment method for any outstanding balance.

9. Changes to Reservation Dates

If your lodging arrival or departure date changes, payment schedules and service availability may also be affected.

Peak to Peak Concierge Services may recalculate future payment due dates based on the updated reservation arrival date.

Changes to lodging dates do not guarantee that previously requested or confirmed concierge services can be moved to the new dates.

Vendor availability must be reconfirmed where applicable.

10. Cancellations and Refunds

Cancellation and refund policies may vary by service.

Many concierge services involve independent vendors that maintain their own cancellation, deposit, refund, and rescheduling policies.

The applicable cancellation policy should be presented during the booking, proposal, itinerary approval, or service confirmation process where appropriate.

Cancellation of your lodging reservation does not automatically cancel or refund concierge services.

If your lodging reservation is cancelled, you should contact Peak to Peak Concierge Services promptly so that we can review your concierge bookings and applicable cancellation policies.

Non-refundable vendor deposits, purchased goods, administrative costs, or amounts already committed to third-party vendors may not be refundable.

Where a specific service has a cancellation policy that differs from these general Terms, the service-specific cancellation policy will control.

11. Guest-Requested Changes

Changes requested after a service or itinerary has been approved may result in:

  • Pricing changes

  • Additional fees

  • Loss of deposits

  • Vendor change fees

  • Changes in availability

  • Cancellation charges

Peak to Peak Concierge Services will make reasonable efforts to accommodate requested changes but cannot guarantee that changes can be made.

12. Third-Party Vendors

Some services offered or coordinated through Peak to Peak Concierge Services are performed by independent third-party vendors.

These vendors may include chefs, drivers, rental providers, guides, massage therapists, activity operators, childcare providers, photographers, and other service providers.

Third-party vendors are responsible for the services they independently provide, including maintaining any licenses, insurance, permits, or qualifications required for their operations.

Peak to Peak Concierge Services acts as a concierge and coordinator for many such services and does not control every aspect of a third-party vendor's operations.

Vendor-specific terms, waivers, or policies may also apply.

13. Activities and Assumption of Risk

Certain activities arranged through our concierge services may involve inherent risks.

These may include skiing, snowboarding, snowmobiling, hiking, transportation, outdoor recreation, high-altitude activities, and other recreational experiences.

Participation in such activities is voluntary.

Guests are responsible for evaluating whether an activity is appropriate for themselves and members of their party and for complying with instructions, waivers, and safety requirements imposed by the applicable service provider.

14. Guest Responsibilities

Guests are responsible for providing accurate and complete information necessary to coordinate requested services.

This may include:

  • Correct reservation dates

  • Property or lodging location

  • Group size

  • Ages where relevant to a service

  • Dietary restrictions and allergies

  • Transportation details

  • Flight information

  • Equipment sizing information

  • Accessibility requirements

  • Other information reasonably necessary to provide a service

Peak to Peak Concierge Services is not responsible for delays, additional costs, or inability to perform a service caused by inaccurate, incomplete, or untimely information provided by the guest.

15. Food Allergies and Dietary Requirements

Guests are responsible for informing Peak to Peak Concierge Services of known food allergies or dietary requirements when requesting food-related services.

We will communicate relevant information to applicable food-service providers when appropriate.

However, kitchens, vendors, restaurants, and food-service environments may handle common allergens, and we cannot guarantee an allergen-free environment unless specifically confirmed by the applicable provider.

Guests with serious allergies should communicate directly with the applicable provider when requested and exercise appropriate caution.

16. SMS/Text Messaging Terms

Guests may voluntarily opt in to receive SMS communications from Peak to Peak Concierge Services.

SMS messages may include:

  • Concierge welcome messages

  • Guest portal access

  • Service-request confirmations

  • Service status updates

  • Itinerary updates

  • Appointment reminders

  • Requests for information

  • Payment-related notifications

  • Responses to guest inquiries

  • Other transactional communications related to requested concierge services or an upcoming stay

Message frequency varies. Message and data rates may apply.

Consent to receive SMS messages is not a condition of purchasing goods or services.

You may opt out of SMS communications at any time by replying STOP.

For assistance, reply HELP.

After opting out, you may receive a final message confirming that your opt-out request has been processed.

Your wireless carrier is not responsible for delayed or undelivered messages.

Peak to Peak Concierge Services may change or discontinue its SMS program at any time.

17. Email and Other Communications

Guests may also receive communications by email, telephone, or through the guest portal relating to requested concierge services, transactions, scheduled appointments, payments, itinerary changes, or customer support.

Where required by applicable law, promotional communications will provide appropriate methods to unsubscribe.

18. Intellectual Property

Content made available through the Peak to Peak Concierge Services website or guest portal—including branding, written content, graphics, itinerary formats, and original materials—is owned by or licensed to Peak to Peak Concierge Services unless otherwise indicated.

You may use such materials for your personal trip-planning purposes but may not reproduce, distribute, sell, or commercially exploit them without permission.

19. Website and Portal Availability

We strive to maintain reliable access to our website and guest portal but cannot guarantee uninterrupted or error-free operation.

The website or portal may occasionally be unavailable due to:

  • Maintenance

  • Technical issues

  • Third-party service interruptions

  • Internet outages

  • Security events

  • Circumstances outside our reasonable control

If a portal function is unavailable, guests may contact Peak to Peak Concierge Services directly for assistance.

20. Limitation of Liability

To the fullest extent permitted by applicable law, Peak to Peak Concierge Services will not be liable for indirect, incidental, special, consequential, or punitive damages arising from the use of our website, guest portal, concierge coordination services, or services independently performed by third-party vendors.

Nothing in these Terms is intended to exclude or limit liability where such exclusion or limitation is prohibited by law.

21. Force Majeure

Peak to Peak Concierge Services is not responsible for delays, cancellations, or inability to perform caused by circumstances outside our reasonable control.

Such circumstances may include severe weather, road closures, natural disasters, government actions, labor disruptions, transportation interruptions, vendor emergencies, power outages, internet outages, or other unforeseen events.

We will make reasonable efforts to assist guests with alternatives or rescheduling where practical.

22. Privacy

Your use of our website, guest portal, SMS program, and concierge services is also subject to our Privacy Policy.

The Privacy Policy explains how Peak to Peak Concierge Services collects, uses, shares, and protects personal information, including mobile information and SMS consent.

23. Governing Law

These Terms are governed by the laws of the State of Colorado, without regard to conflict-of-law principles.

Any dispute relating to these Terms or services provided by Peak to Peak Concierge Services will be subject to applicable Colorado law.

24. Changes to These Terms

We may update these Terms periodically.

When changes are made, the effective date at the top of this page will be updated.

Terms applicable to an already approved transaction will remain subject to the terms presented or agreed to in connection with that transaction, except where a change is required by law or mutually agreed upon.
